Getting started
What kind of events is Smappo for?
Smappo is made for events where you collect registrations and, if you want, sell tickets: networking, workshops, courses, dinners, village fairs, company events, association meetups, small live music in informal settings.
Smappo tickets are not fiscal tickets. If the law requires fiscal ticketing for your event (for example many shows and concerts in Italy, with SIAE tickets), Smappo is not the right tool.
How much does Smappo cost?
Creating an account and events is free, and free tickets cost you nothing.
Paid tickets carry two fees: Smappo's, per ticket sold, and Stripe's, per payment. You'll find the current rates and a calculator on the Pricing page.
For each ticket you decide whether you pay the fees (buyers pay just the ticket price) or buyers do (the fees are added to the price, shown all-inclusive).
Do I need separate accounts to organize and to attend?
No. The same account creates events and registers for other people's events: your dashboard has “Events I organize” and “Events I'm attending”.
How do I create my first event?
- Go to your dashboard and press “Create event”.
- Enter title, description, date and time, and choose whether it takes place in person (search the address) or online (enter the link).
- Add a cover image if you like: it's also the preview when you share the link.
- Press “Save draft”: nobody can see the event yet.
- In the event dashboard add at least one ticket (free or paid) with places, dates and registration form.
- Press “Publish event”, accept the organizer terms and share the link.
While it's a draft you can change everything as often as you like.
Creating and managing events
Can I edit an event after publishing it?
Yes: details, image, description and tickets can be edited after publishing too. To protect people who already registered, a few limits apply:
- a ticket's places can't go below its number of registrations;
- a ticket with registrations can't be removed;
- the registration form of a ticket with registrations can't change any more, so the answers already given stay valid.
If you change the date or the place, let your attendees know: Smappo doesn't send automatic emails about changes.
How do tickets work?
An event can have several tickets, for example “Entry”, “Reduced”, “Dinner” or one ticket per day. Each ticket has:
- a price (free or paid) in the event's currency;
- unlimited places or a set number;
- the day it's valid for, if the event lasts several days;
- when registrations open and close;
- how many people can register in one booking;
- its own registration form.
You can reorder tickets: the order is the one shown on the event page.
Can I open registrations later, or pause them?
Yes. For each ticket choose when registrations open: as soon as the event is published, at a set date and time (they open by themselves), or manually with “Open now” in the dashboard.
Before opening, the ticket can stay hidden, or show up with a countdown or as “Coming soon”.
From the event dashboard you can pause a ticket's registrations and resume them whenever you like.
When do registrations close?
By default a ticket's registrations close the day before the event at 23:59; you can pick another date and time in the ticket. They also close when places run out.
“Close event” closes registrations for every ticket at once: the public page stays visible.
What does “Held now” / “Being booked” mean?
When someone starts filling in the form, Smappo holds their place for 10 minutes so they don't lose it while typing. During payment the place stays reserved for up to 30 minutes.
If time runs out without confirmation, the place becomes available again by itself. That's why, when places are nearly gone, someone may see “try again in a few minutes”.
Can one person register other people too?
Yes, if you set “People per booking” above 1 in the ticket. Whoever books fills in the form for each person: everyone gets their own ticket with QR, and all tickets go to the person who booked. If a person's email is given, they receive their own ticket as well.
How do I customize the registration form?
In the ticket, under “Registration form”, choose which details to ask (name and email are always there; phone, city, gender and food allergies are optional or required, as you prefer) and add your own questions: free text, single choice or multiple choice.
A question can appear only depending on the answer to an earlier one. You can also copy the form from another ticket.
Food allergies are health data: people who fill them in give explicit consent, and you must use them only to manage their participation.
How does an online event work?
Choose “Online” and enter the link (Zoom, Meet, Teams, YouTube...). The link isn't shown on the public page: only registered people get it, in their confirmation email.
An online event's times follow the time zone shown in the form; in-person events use the venue's time zone.
What's the difference between closing, cancelling and deleting an event?
- Close: registrations stop, the event stays as it is. Useful when you have the attendees you wanted.
- Cancel: the event won't take place. It stays visible with your message, attendees can get an email and you can refund every payment at once. It's final.
- Delete: the event disappears and its link stops working. Only possible for an event without registrations.
How do I cancel an event with registrations?
- Open the event dashboard and choose “Cancel event”.
- Write the message for your attendees: the reason, a new date if any, what happens to payments. It appears on the page and in the email.
- Choose whether to email the attendees and, if you sold tickets, whether to refund every payment now.
- Confirm: cancelling is final.
If you choose not to refund now, you can do it later from the event's Sales page.
My event says “suspended by Smappo”: why?
Smappo can suspend an event that breaks the terms (for example content that isn't allowed, events that need fiscal ticketing, fraud reports). The reason is shown in the event dashboard. While suspended, the public page can't be reached and registrations stop; tickets already issued stay valid.
For details or to ask for it to be lifted, open a support request naming the event.
Payments with Stripe
Why do I need a Stripe account to sell tickets?
Smappo never touches your money: sales go straight to your Stripe account and from there to your bank account. Stripe is the payment institution that handles cards, and the law requires it to verify who receives payments (identity verification, or “KYC”).
You set up and manage the Stripe account entirely inside Smappo, under Payments: you don't need to sign up on Stripe's website.
You are the seller of the tickets: Smappo provides the ticketing service on your behalf and keeps its fee on each sale.
How do I set up payments?
- Go to Payments.
- Choose the country of your business (where you are based or tax resident) and press “Set up payments”.
- Fill in Stripe's form that opens in the page: type of business, personal details, ID document, the bank account (IBAN) to be paid into.
- Wait for verification: usually a few minutes, sometimes a few days. When the status turns “Active” you can sell paid tickets.
You can stop halfway and come back later from the same page: what you entered is saved.
What details and documents does Stripe ask for?
It depends on the country and the type of business. Usually:
- Individual or sole trader: full name, date of birth, home address, phone, tax identification number, ID document, IBAN.
- Company: company details (legal name, address, VAT or registration number), details of the legal representative, of the beneficial owners (anyone owning over 25%) and of the directors, a bank account in the company's name.
- Association or non-profit: details of the organization and its legal representative, the organization's IBAN. Stripe may ask for its statute or deed of incorporation.
Stripe may also ask for a description of what you sell (for example “tickets for workshops and networking evenings”) and a website: you can use the address of your organizer page on Smappo.
Smappo neither sees nor stores your documents: only Stripe receives and checks them.
I'm a private person or an association without a VAT number: can I sell tickets?
Stripe lets you open an account as an individual or as a non-profit, depending on the country. If Stripe verifies you, you can technically sell tickets with Smappo.
Whether the sale is allowed and how the takings must be declared, though, depends on your situation and your country's rules (occasional activity, an association's fundraising, VAT...). Tax obligations are yours and Smappo can't give tax advice: talk to your accountant before you start selling.
Which country should I choose? Can I change it later?
Choose the country where you are based (for a company or an association) or tax resident (for an individual). The bank account should be in the same country, or at least in a country Stripe supports.
The country can't be changed once set up: that's Stripe's rule. If you picked the wrong one or have moved, open a support request in the Payments category and we'll work out together how to proceed.
My payments status is “To complete”, “Being verified” or “Action required”: what should I do?
- To complete: you haven't finished Stripe's form. Open Payments and complete it.
- Being verified: Stripe is checking your details. Nothing to do; usually a few minutes, sometimes a few days.
- Action required: Stripe needs more information or a document. Payments shows a box saying exactly what's missing and by when.
- Active: you can sell paid tickets.
If requested information isn't provided by the deadline, Stripe can pause payments or payouts until you complete it. Check the Payments page whenever you get a notice.
Stripe is asking me for a code: which one do I enter?
It's a 6-digit code Stripe sends you to confirm it's really you: it isn't your Smappo password. Stripe asks for it when you open your balance, transfers or account details in Payments.
- It arrives by text message at the phone number you gave when you set up payments.
- If you didn't give a number, it arrives by email, at your account's address.
- For a while Stripe remembers your device and doesn't ask again.
Not getting the code because the number or email is no longer yours? Write to support: we'll tell you where Stripe is sending it and help you update it.
Stripe can't verify my ID document: what can I do?
The most common causes are easy to fix:
- a blurry photo, with glare or cut-off edges: photograph the whole document on a dark surface, in good light;
- an expired document;
- the back of the document is missing;
- the name or date of birth you entered doesn't match the document (watch out for middle names and accents);
- photocopies or black-and-white scans: Stripe needs colour photos of the original.
Upload the document again from the box in Payments. If it still doesn't go through, open a support request in the Payments category: we can look at the verification status with you.
Stripe has paused my payments or payouts: why?
Usually because information Stripe asked for is missing (see “Action required” in Payments). Less often Stripe runs a security review of the business, for example after many disputes or sales very different from usual.
Complete what Stripe asks: in most cases everything unblocks by itself. Stripe's decisions don't depend on Smappo and we can't override them, but we can help you understand what's missing: open a request in the Payments category.
Can I prepare my event while Stripe verifies my details?
Yes. You can create the event, free tickets and drafts of paid tickets. To sell paid tickets on a published event you need the “Active” status and to confirm the tax statement in the ticket.
I already have a Stripe account: can I connect it?
No: Smappo creates a dedicated Stripe account, managed inside Smappo, so you see sales, payouts and documents in one place. Your existing Stripe account stays as it is and keeps working for the rest of your business.
How can my buyers pay?
With the main credit and debit cards, Apple Pay and Google Pay and, where available, other methods Stripe offers depending on the buyer's country (for example Link, Stripe's quick checkout). The payment form appears inside your event page.
Sales, fees and payouts
Who pays the fees: me or the buyer?
You choose, ticket by ticket, under “Who pays the fees?”:
- I pay them: buyers pay just the ticket price; you receive the price minus Stripe's and Smappo's fees.
- Buyers pay them: the fees are added to the price, shown all-inclusive; you receive the full ticket price.
The ticket shows an estimate of what you receive. If you change the choice, it applies to later payments.
Why is Stripe's fee an estimate?
Stripe charges different rates depending on the card used: the estimate uses the rate for European cards. With non-European or business cards Stripe keeps a little more. The event's Sales page shows the actual fees of each payment.
Where can I see what I've sold?
In the event dashboard, Sales box: takings, Stripe fees, Smappo fees and your net, with the list of payments. You can search by name or email and filter refunded ones.
Your account balance and the payouts to your bank are under Payments → Balance and payouts.
When does the money reach my bank account?
Stripe pays your available balance into your bank account automatically. You see and change the schedule (daily, weekly or monthly) under Payments → Balance and payouts.
The first payout usually takes longer, typically 7–14 days after the first payment depending on the country: it's Stripe's rule for new accounts. After that it gets quicker.
A payment becomes “available” after a few business days: until then it shows as “incoming”.
How do I change the bank account I'm paid into?
Under Payments → Details and bank account. Stripe may ask to verify the new account; payouts already on their way go to the previous one.
Where do I find documents for my accounts?
Under Payments → Documents you'll find Stripe's documents (the account's reports and tax documents). The event's attendees page exports the list to Excel or CSV.
Smappo tickets are not fiscal tickets: declaring takings, VAT and any permits are up to you. If you need a document about Smappo's fees, open a request in the Payments category.
Can I sell in pounds or another currency?
Each event has one currency: today you can choose euros or pounds. If your bank account uses a different currency, Stripe converts the takings automatically at its exchange rate.
Refunds and disputes
How do I refund a buyer?
- Open the event and go to Sales.
- Find the payment (search by name or email) and press “Refund”.
- Choose whom to refund: the whole booking or only some people.
- Check the amount and confirm.
The refund is taken from your Stripe balance. Refunded registrations are cancelled, the places become available again and the buyer gets an email.
How much does the buyer get back?
- If buyers paid the fees: they get the ticket price back; the service fees aren't returned.
- If you paid the fees: the refund is net of the payment handling costs (Stripe and Smappo), so you don't lose out.
The rule is shown to buyers before they pay. Smappo and Stripe don't give back their own fees on refunds.
A refund didn't go through: why?
The most common reason is an insufficient Stripe balance, for example because the takings were already paid out to your bank. Try again once new sales come in. If it persists or is urgent, open a request in the Refunds category naming the event and the buyer.
When does the buyer get the money?
The refund starts straight away, but it usually shows on the card statement after 5–10 business days, depending on the bank.
Can a buyer cancel a paid ticket by themselves?
No: people who paid must ask you to cancel or refund, and you decide according to your terms. Free registrations, instead, can be cancelled from the link in the confirmation email until the event starts.
What is a dispute (chargeback) and how do I respond?
A dispute is when the person who paid asks their bank to reverse the payment (for example “I don't recognise this charge” or “the event didn't happen”). While it's open, Stripe holds the disputed amount plus a dispute fee from your balance.
- Go to Payments → Disputes: the section appears when there's a dispute.
- Respond before the deadline shown, with evidence: confirmation email, registration details, check-in at the entrance, your refund terms, messages with the buyer.
- The bank decides; if you win, the amount comes back to you.
If the buyer is right (for example the event was cancelled), it's often better to refund before they open a dispute.
Discount codes
How do I create discount codes?
- Open the event dashboard and, in the Sales box, choose “Discount codes”.
- Pick the paid ticket the code applies to.
- Choose the type: percentage (on every ticket in the order; 100% = complimentary) or fixed amount (taken once off the order total).
- Create one code at a time, with the text you choose, or in bulk (up to 500 random codes with a prefix, for example VIP-7K2PQ9XA).
- Set the uses per code (1 = personal code) and, if you like, the validity dates.
You can copy the codes, export them to CSV and hand them out as you like: Smappo doesn't send them for you.
How are the discount and fees worked out with a code?
Fees are calculated on the discounted price. A 100% code makes the ticket complimentary: the registration is confirmed with no payment and no fees.
A code is used up only when the payment succeeds; while someone is paying it's held for them. If you later refund that purchase, the code doesn't become available again.
A discount code doesn't work: why?
Check the event's Discount codes page. Possible reasons:
- the code is for another ticket;
- it isn't valid yet or has expired;
- it has no uses left;
- it has been disabled;
- someone is using it right now for a payment (it frees up if the payment fails).
Upper and lower case don't matter.
Ambassadors
What are ambassadors?
People who promote your events with a personal code (for example MARCO). Buyers using the code get a discount; for every ticket sold with the code the ambassador earns a share. We withhold the share at purchase and pay it out to the ambassador after the event: you don't pay anyone.
For you it's a cost of sale: you decide how much to spend on every ticket an ambassador sells and how to split it between discount and share. The event's Ambassadors page shows what you keep straight away.
Step by step: opening an event to ambassadors
- Make sure your payments are active: only then can ambassadors find the event in their search.
- Open the event dashboard and, in the Sales box, choose “Ambassadors”. In the Tickets tab turn on “Enable Ambassadors” for the paid tickets you want promoted.
- Choose the buyers' discount (at least 1.00 per ticket) and the ambassador's share. On the right the simulation shows what buyers pay, what goes to the ambassador and what you keep. If you like, set a ticket limit.
- In the Ambassadors tab approve applications (when one arrives you also see it at the top of the event dashboard) or invite your own promoters by email.
- While selling, follow each ambassador's tickets day by day; you can pause or end a promotion at any time.
- You don't pay anyone: we withhold the share on each sale and pay it out to the ambassador 7 days after the event. The Ambassadors tab shows what was withheld and paid out. After the event, leave a rating.
If you refund a ticket before the payout, that ticket's share comes back to you.
How do I open a ticket to ambassadors?
- Open the event dashboard and, in the Sales box, choose “Ambassadors”.
- For every paid ticket set the discount for buyers (at least 1.00 per ticket), the ambassador's share and any ticket limits. The share must fit in what the ticket leaves you after fees.
- Save: if payments are active, ambassadors find the event when they search for events to promote.
- Approve the applications you receive, or invite whoever you like by email.
Do I have to pay ambassadors?
No. On every ticket sold with an ambassador code we withhold the share together with Smappo's fee, and pay it out to the ambassador 7 days after the event ends. Your sales show it as “Ambassador shares”.
If you refund a ticket, or cancel the event, before the payout, those tickets' shares come back to you. After the payout, refunds and disputes are handled by Smappo's staff.
Can I stop an ambassador?
Yes. From the event's Ambassadors page you can pause them or end their promotion: from then on their code no longer works on your event. What they've already earned is still paid out to them after the event.
Attendees and check-in
Where do I see my attendees and how do I export them?
From the event dashboard press “View attendees”: names, emails, registration date and check-in. “Download” exports to Excel or CSV one row per person, with every answer to the form; you can filter by ticket and include cancelled ones.
“Answers and charts” summarises the answers to the form's questions.
How do I check people in at the entrance?
- From the event dashboard open “Check-in” on your phone.
- Press “Start camera” and scan the ticket's QR code (on a phone or printed).
- If someone doesn't have their ticket, search them by name or email and press “Check in”.
You can check in from several phones at once: entries update for everyone. A check-in made by mistake can be undone.
At check-in a ticket shows as invalid or “already checked in”: what does it mean?
- Already checked in at...: that ticket has been used already. It may be a shared copy of the QR.
- Registration cancelled: the person cancelled or was refunded. If they have a new registration, Smappo tells you.
- Heads up: this ticket is for another date: the ticket is valid on another day of the event.
- Ticket not valid: the QR doesn't belong to this event.
If the camera doesn't start, allow camera access in the browser, or use the search by name.
Can I write to my attendees?
Smappo sends attendees the confirmation emails and, if you cancel the event, your message. For anything else you can export the list and write with your own tools.
Attendees gave you their details to take part in the event. Send newsletters or promotions only to those who agreed: see the “News from the organizer” column in the export.
Who is responsible for attendees' data?
You are, as independent controller of the data collected for your events. In Organizer page you can write your privacy notice: it's published on your page and linked from the registration form. Smappo handles data as described in its privacy policy.
Organizer page
What is the organizer page and how do I customize it?
It's your public page on Smappo, with logo, cover, introduction, contacts and all your events, at an address you choose. Logo and colours apply to your event pages and PDF tickets too. Emails to your guests arrive with your name as the sender and, if you added a contact email, replies come straight to you.
Find it in Organizer page: upload logo and cover, choose your colours (Smappo warns you if a colour is hard to read), write who you are and your contacts. Save and check the preview on computer and phone.
